Automations let you create workflows that perform actions automatically when specific events occur, saving time on repetitive recruiting tasks.

What Are Automations?

An automation (workflow) has three parts:

  1. Trigger — The event that starts the workflow (e.g., "When a new application is received")
  2. Conditions (Optional) — Rules that must be met for the workflow to execute (e.g., "Only if the clearance level is TS/SCI")
  3. Actions — What happens when the trigger fires and conditions are met (e.g., "Move to Phone Screen stage")

Viewing Your Workflows

Navigate to Automations from the main navigation. The overview shows:

  • Active Workflows — Currently enabled automations
  • Runs Today — How many times workflows have executed today
  • Total Workflows — All workflows (active and paused)

Each workflow card displays:

  • Enable/disable toggle
  • Workflow name and description
  • Active or Paused badge
  • Visual flow: Trigger → Conditions → Actions
  • Last run timestamp and total run count

Tips

  • Start with simple workflows and add complexity as you learn what works for your team.
  • Use the enable/disable toggle to pause a workflow without deleting it.
  • Monitor the "Runs Today" counter to ensure workflows are firing as expected.
